- Go to Hirealonghorn.org and select Authorization Request: Hire A Work-Study Access from the Quick Links menu.
- Fill it out, and fax it to our office at 475-6296. Processing your request usually takes 1-2 days; we will not issue a notification to you. Instead, try logging into the system until you are successful.
- The Authorization Request form asks whether you are the person who pays and appoints in *DEFINE. If you are, we will set you up as a Submitter. If you are not, we will set you up as a User. This is to ensure that the payroll person in each department will always be aware of new hires, and thus will know when to create an appointment.
- Users will not have the option to submit; Users should save the document and request the Submitter in their department to submit the pending document.
- Go to "Option 4" of the Hire A Work-Study home page and select Browse All. This will display a list of all Hire Documents for your mail code and their status. Also, you may check the *DEFINE appointment on the AL1 screen to see whether the appointment has been "flagged" with the Work-Study award.
- Work-Study is annually awarded in the order of Summer/Fall/Spring. This means that Summer is the first semester of the Work-Study year. So, if you create a Hire Document for the Summer, and the student remains in your department, you will not create one for Fall or Spring.
- Or, if the student begins employment in Fall, the Hire Document you create will hold for Spring.
- If the student begins employment with your department in Spring, your Hire Document will hold for Spring only, as it is the end of the Work-Study year.
- Go to Hirealonghorn.org and select Hire A Work-Study from the Quick Links menu.
- If you already have a job description that you want to re-use, go to "Option 2" and click Browse All to find the appropriate one. Click on the JD# to pull it up.
- Or, if you do not already have an appropriate "job description", go to "Option 1" and create one. Answer every question to the best of your ability and save it.
- Click the button labeled, "Hire A Student".
- After entering all requested information and saving, either click the "Submit" button or notify the Submitter in your department to submit the document.
- At any time, you can click the "Home" link located on the left side navigation bar. This will return you to the initial home page which contains the system's four primary options.
